Privacy Policy
1. Who we are
LogVoice (“we,” “us,” or “our”) provides a mobile app that helps field sales teams record short voice summaries after customer visits and sync structured notes to the destinations the team manager connects: Google Sheets and, optionally, HubSpot, Zoho CRM, and Pipedrive. 2. Age requirement
You must be at least 16 years old to create an account or use LogVoice. If the laws of the country or region where you live set a higher minimum age for using online services or for consenting to processing of personal information, that higher age applies. By creating an account, you confirm that you meet this requirement. LogVoice is a business productivity tool and is not intended for children.
3. What we collect
We collect the following categories of information when you use the app, website, or related services. Exact items depend on how you use LogVoice (for example, managers vs reps, which destinations are connected, and whether crash reporting is enabled).
3.1 Contact info
- Name (account profile and customer / lead fields you dictate or edit).
- Email address (account login and communications).
- Phone number and physical address when you include them in voice logs or review fields (typically customer / lead data, not your personal contact card).
- Other contact details you choose to store in log fields or feedback.
3.2 User content
- Audio / voice recordings you create in the app.
- Transcripts, structured extraction fields, tasks, and free-text notes derived from or edited after those recordings.
- Optional in-app feedback / customer support messages you send us.
- Website demo or contact form submissions (name, company, email, optional message).
3.3 Identifiers
- User / account IDs and organization / team IDs.
- Device and session identifiers used for authentication, security, and (when enabled) crash / diagnostics tooling.
3.4 Purchases & billing metadata
- Subscription and seat status, Stripe customer / subscription identifiers, and plan interval. Disclaimer: card numbers and full payment details are entered on Stripe’s hosted pages; we do not store full payment card data on LogVoice servers.
3.5 Usage data (app operation, product analytics & growth)
- Product interaction events (for example starting a log, completing sync, joining a team, opening billing) used to operate features, measure product health, and guide product growth / prioritization.
- Disclaimer: these events are for operating and improving LogVoice. We do not sell personal information and do not use this data for third-party advertising networks.
3.6 Diagnostics (performance & reliability)
- Crash logs, error reports, and performance / diagnostic data (for example when Sentry or similar tooling is enabled) to keep the Service stable and debug issues.
- Disclaimer: diagnostics may include device model, OS version, app version, and truncated stack traces. We use them for reliability, not for selling ads.
3.7 Destination connections
- Google Sheets: spreadsheet identifiers / URLs and, for the share-sheet path, our service account’s access to a sheet you share. Legacy OAuth tokens may be stored server-side when that connect path is used.
- HubSpot, Zoho CRM, and Pipedrive: OAuth access and refresh tokens, account / portal identifiers, and destination settings (for example whether to create a contact/person plus a note, or also a deal) when a manager connects that CRM.
3.8 What we do not collect by default
- Precise or coarse device location for mapping or tracking.
- Photos or videos from your camera roll.
- Your device contacts address book.
- Advertising identifiers for cross-app tracking or ad targeting.
4. How we use data (purposes)
- App functionality / operation: accounts, teams, voice logging, transcription, field extraction, review, sync to connected destinations (Google Sheets, HubSpot, Zoho CRM, and/or Pipedrive), billing access control, and support.
- Performance & reliability: crash reporting, error diagnosis, and service monitoring.
- Analytics & growth of LogVoice: understanding feature usage so we can improve onboarding, retention, and product roadmap. This is first-party product analytics, not selling data to advertisers.
- Communications: billing, security, material product changes, and responses to demos or support requests.
- We do not sell your personal information.
5. Legal bases (where applicable)
Where privacy laws require a legal basis (including Quebec’s Act respecting the protection of personal information in the private sector / Law 25 and GDPR-style laws), we process personal information as needed to provide the Service you request, to perform our contract with you, to meet legal obligations, and for legitimate interests such as security, fraud prevention, product improvement, and growth analytics, balanced against your rights.
6. AI processing
Voice audio is sent to our processors (including OpenAI) to create transcripts and draft structured fields. Do not record information you are not authorized to store. You are responsible for obtaining any required consents from customers or other individuals whose information you record.
7. Destinations (Google Sheets, HubSpot, Zoho CRM, Pipedrive)
The team manager chooses where approved logs are written. One team may connect more than one destination; each approved log is then written to every connected destination.
Google Sheets. Managers connect a team spreadsheet by sharing it with LogVoice and pasting the Sheet link in the app. Approved log data is written to that Sheet. Google’s use of data is governed by Google’s policies. Disconnecting LogVoice or switching sheets stops future writes to the previous workbook; it does not delete spreadsheets in your Google Drive.
HubSpot, Zoho CRM, and Pipedrive. Managers connect these CRMs through OAuth in the app. After a log is reviewed and approved, LogVoice may (depending on the destination and the manager’s settings): find or create a contact / person, add a note that includes structured fields and the transcript, create a task or activity when a next step is present, and optionally create a deal. That write happens at the manager’s direction, into their HubSpot, Zoho, or Pipedrive account. HubSpot, Zoho, and Pipedrive process that data under their own terms and privacy policies. Disconnecting a CRM in LogVoice stops future writes; it does not delete contacts, notes, deals, or activities already created in that CRM.
8. Subprocessors and sharing
We use trusted service providers to operate the Service, including: Supabase (database, auth, storage, edge functions), OpenAI (transcription and extraction), Google (Sheets API), Stripe (payments), Sentry or similar diagnostics (when enabled), and email delivery providers. They process data only to provide their services to us and under contractual or policy obligations.
When a manager connects HubSpot, Zoho CRM, or Pipedrive, we share approved lead content (for example customer name, phone, address, notes, transcript, and next step) with that CRM so it can be written into the manager’s account. Those CRMs are not advertising partners; the transfer is to deliver the sync the manager requested. We may also disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets (with notice where required).
9. Security
We apply administrative, technical, and organizational measures appropriate to the nature of the data, including encryption in transit (TLS), access controls and row-level security in our database, least-privilege service roles for backend jobs, and separation of secrets from the mobile client. No method of transmission or storage is 100% secure; we cannot guarantee absolute security. LogVoice is not currently SOC 2 certified unless we publish an independent audit report stating otherwise.
10. Retention and deletion
We keep account data and interaction records while your account is active. You may delete your account in the app (Home → Delete account), which permanently removes your LogVoice account data, recordings, transcripts, and extracted fields we store within thirty (30) days, except where retention is required by law. Copies in encrypted backups are purged on the backup rotation cycle (typically within ninety (90) days). Spreadsheets already created in Google Drive remain under your Google account. Contacts, notes, deals, and activities already written to HubSpot, Zoho CRM, or Pipedrive remain in those accounts and must be deleted there if you want them removed. Email support@logvoice.co to request access, correction, or deletion. We aim to respond within thirty (30) days, or sooner if required by applicable law.
11. Your choices and rights
- Connect or disconnect Google Sheets, HubSpot, Zoho CRM, and Pipedrive.
- Delete individual unfinished logs.
- Delete your account from Home in the app.
- Contact support@logvoice.co for privacy requests (access, correction, deletion, withdrawal of consent where applicable).
- Residents of Quebec and other jurisdictions may have additional rights under local law; we will honour requests as required.
12. International transfers
Our providers may process data in Canada, the United States, or other countries. Where required, we rely on appropriate safeguards and contractual protections. By using the Service you acknowledge that your information may be processed outside your province or country of residence.
13. Children and underage users
LogVoice is not directed to anyone under 16, or under the higher minimum age required where you live. We do not knowingly collect personal information from such persons. If you believe we have collected data from someone who does not meet the age requirement, contact support@logvoice.co and we will delete it.
14. Changes
We may update this Privacy Policy from time to time. The “Effective” date above will change. Material changes will be communicated in the app or by email where appropriate.
